Popcorn Sales

History:
Pack 224 has been participating in Trails-End popcorn sales since the year 2000, according to the Crosswinds district popcorn sales history page at http://crosswinds.cary.nc.us/hispopco.html.  Unfortunately, those pages do not have specific sales or ordering information for each unit, with the
exception of the dollar numbers sold for the top selling units.  For years 2006-2008, Pack 224 was recognized for total sales >$20000.  In 2010, we
were recognized as the pack with the third highest in TAKE ORDER sales (this is the sales by individual scouts) for our district of $10,261.

Timeline/Recommendations:
  • May - Before closing out the Cub Scouting year (in May at bridging), identify the Pack Popcorn Kernel, and put them in touch with the district kernel. 
  • May-August - Pack Popcorn Kernel should be working on reserving Show 'N Sell locations #START EARLY AS WE COMPETE WITH OTHER UNITS FOR THESE SITES!!!#  Also, be sure that sites are within our district borders, ie. in Wake county, west of US Hwy #1 and no further North than Morrisville.
  • July - Pack commitment form and Unit Kernel contact info form must be submitted
  • Late August-Early September - Popcorn Kernel must attend district training (date&location TBD by district kernel)
  • First week September - Submit initial popcorn order to district (deadline TBD by district kernel) (See InitialOrder2011.pdf attached below.  Numbers are based on Pack 224 historical sales with an average of 55-60 scouts selling.)
  • September Den/Pack Meetings - Have "Popcorn Kickoff" at Pack Meeting to educate Parents and Scouts on specifics of popcorn sales, distribute order forms, publish Show 'N Sell sign-ups URL.  
  • Mid to Late September - Pickup initial popcorn order at district warehouse (date & time TBD by district kernel)
  • Late September - Popcorn Sale Begins!
  • Late September - First Week October - Conduct "Show 'N Sells" at prearranged locations.  Get starter money for cash boxes from Pack Treasurer ($100 total per box and various denominations).  Two cases of each product is a good starting inventory for each site.  Use inventory sheets provided by district, visit each site frequently to check product levels, pickup excess cash and ensure that shift changes go smoothly.  When you break down the sites at the end of the day, ensure that you keep leftover inventory from each site separate or do an onsite ending inventory.  Count and record sales amounts and donations, and turn in all money to Pack Treasurer ASAP after the SNS dates.  If scouts want to do "Show 'N Deliver", sign out inventory to them using sheets from district.  Ensure that they know to mark the "paid" and "delivered" checkboxes on their order forms or even keep a separate sheet for "Show 'N Deliver".  
  • Late October - Sale Ends.  Collect all "up front" money and order forms and use spreadsheet provided by district kernel (blank 2011 sample attached below, but get updated one from district kernel) for totaling submitted orders and for tracking how much money has been collected by each scout.  Turn in all "up front" money to Pack Treasurer ASAP.  Council sends bill for "Initial Order" to Popcorn Kernel's address.  Submit bill to Pack Treasurer for payment to council. 
  • Early November - Meet with district kernel to submit order (be sure to take the tracking spreadsheet).  When truck arrives, pickup "TAKE ORDER" product from warehouse and distribute.  
  • Late November - Finish collecting money and turn in to Pack Treasurer. 
  • Early December - Receive "TAKE ORDER" bill from council and submit to Pack Treasurer for payment to council.  One council receives final payment, prize order is submitted and prizes get shipped to Popcorn Kernel's address.  Have a pizza party to recognize top salesmen and if prizes have arrived to distribute them to scouts.
